Privacy Policy

Last updated: 4 November 2026

This policy explains what personal data the Henry Chesbrough Prize website (chesbroughprize.org) collects, why, and what rights you have. It applies to visitors to the site, to people who submit a nomination, and to the scholars they nominate.

Who is responsible for your data

The data controller is Alberto Di Minin. For any question about this policy or your data, write to alberto.diminin@santannapisa.it.

Visiting the website

The website does not use analytics, advertising or tracking tools, and it does not set cookies for visitors. Fonts and images are served from our own server, so browsing the site does not send your data to third parties.

Like any web server, ours keeps technical logs of requests (IP address, browser, page requested, date and time). We use them only to keep the site secure and working.

Links to other websites, such as LinkedIn profiles or university pages, take you to sites with their own privacy policies.

Submitting a nomination

When you fill in the nomination form, we collect:

  • your name, email address and, if you provide it, your affiliation;
  • the name, affiliation and academic profile link of the scholar you nominate;
  • your answers to the nomination questions;
  • the date and time of the submission and your IP address, which we keep to protect the form from abuse.

We use your email address to confirm your nomination, to send you your personal link for the video message and, if needed, to contact you about the nomination.

Recording a video message

After a nomination, you can record a video message from the personal link we send you. The video contains your image and voice, and anything else you choose to show or say. We also store the date of the recording and the type of device and browser used.

Your browser asks for permission before using your camera and microphone, and they are used only while you record on that page. Videos are stored on our server in a private area that is not accessible from the web. We use them only to evaluate the nomination and do not publish them without your separate consent.

If you have been nominated

If someone has nominated you, we received your name, affiliation, academic profile link and the nominator’s assessment of your work from that person, not from you. We use this information only to evaluate the nomination. You can contact us at any time to ask what we hold about you, or to object to being considered.

Why we use your data

  • Nominators: we process your data on the basis of your consent, given when you tick the box on the form and when you choose to record a video (Article 6(1)(a) GDPR). You can withdraw your consent at any time by writing to us. This does not affect what was done before you withdrew it, but we may no longer be able to consider your nomination.
  • Nominated scholars: we process your data on the basis of our legitimate interest in running an open and credible selection process for the Prize (Article 6(1)(f) GDPR).
  • Website security: technical logs and IP addresses are processed on the basis of our legitimate interest in keeping the site secure (Article 6(1)(f) GDPR).

Who can see your data

Nominations and videos are accessible only to the people involved in running the Prize and evaluating nominations, including the members of its Steering Committee and Selection Committee. Committee members are based in different countries, and some of them may be outside the European Economic Area.

The website is managed by our technical provider, Websoup (Italy), and hosted on servers of Hetzner Online GmbH in Germany. They process data only on our behalf, to keep the site running. We do not sell your data or use it for marketing.

How long we keep your data

We keep nominations and video messages for up to 24 months after the award ceremony of the edition they refer to, and then delete them. Server logs are kept only for as long as needed for security purposes.

Your rights

You have the right to access your personal data, to have it corrected or erased, to restrict or object to its processing, and to receive a copy of it in a portable format. To exercise these rights, write to alberto.diminin@santannapisa.it.

You also have the right to lodge a complaint with the data protection authority of the country where you live or work.

Changes to this policy

We may update this policy, for example if the website or the selection process changes. The date at the top of this page shows the latest version.
